Information for Tenants

We let and manage furnished and unfurnished flats and houses throughout the Southwest. Please click on the home page map to view a selection of properties in your chosen area. Our properties change daily and you should submit your details and requirements for current and future availability. Please note that for your safety and peace of mind:

  • All of our managed properties are Gas Safe gas safety certificated.
  • Tenancy deposits (bonds) are held in a designated Client Account in accordance with current RICS code of practice. Deposits taken after 06/04/07 will be treated in accordance with the Tenancy Deposit Protection regulations.
  • We have professional indemnity insurance and belong to a client money protection scheme.

GUIDE FOR TENANTS

Finding a property

The first step is to contact us to provide brief details about yourself and about the accommodation you require. We then search our database for suitable properties for you to view. If not urgent, we log your details so that we can contact you as suitable properties become available. It is wise to start looking about a month before you wish to move, as the nicer properties are viewed and reserved quickly. Our tenancies are granted for a minimum term of 6 months. We regret that we cannot assist DSS claimants.

Viewings
Viewings will be arranged at times to suit you, including evenings and weekends, and you will invariably be accompanied by a member of staff, who can give advice and answer any questions you may have.

Reserving the property
Once you have decided on a property, you will need to reserve it by paying a 'holding fee'. Assuming that the tenancy goes ahead, this will be deducted from the monies due before you move in. If the landlord declines to grant the tenancy, it will be refunded. However the deposit will be forfeit if you decide not to proceed for any reason, or if you fail to provide complete and accurate information in your application.

References
As a minimum we will require satisfactory references from your employer (or college), and a previous or current landlord. We may also require a personal reference, and sometimes a guarantor. In addition a credit check will be undertaken. We may use the services of an independent referencing company to obtain and evaluate these references.

Rents
Rents are normally quoted calendar monthly, and payable monthly in advance. The tenant is usually also responsible for Council Tax, Water Rates, Gas, Electricity and Telephone costs. All rents are payable by bank standing order to our company bank account.

Deposit
A security deposit of a minimum of one month's rental will normally be required. This deposit will be treated in accordance with the Tenancy Deposit Regulations, and you will be informed of which protection scheme is utilised. The deposit is held to cover damage, breakages, and any other liabilities under the terms of your tenancy agreement. Please note that under no circumstances can the deposit be used by the tenant to cover rent.

Fees to Tenants
We aim to be transparent as possible when disclosing our services, procedures and fees charged to tenants. Plymouth Estates is a member of a redress scheme known as The Property Ombudsman www.tpos.co.uk . Copies of the TPO Code of practice and our complaint handling procedure are available at 45 Springfield Road, Plymouth, PL9 8EP. Upon reserving a property, applicants will be required to pay our tenancy set up fee and all of our fees are listed below. In the event that the landlord declines to grant the tenancy, it will be refunded to you in full. However the agency tenant set-up fee will be non-refundable if you decide not to proceed for any reason, or if you fail to provide complete and accurate information in your application. All of our client’s money is held in a separate client account. We have Professional Indemnity Insurance and belong to a Client Money Protection Scheme.

BEFORE YOU MOVE IN:

Tenant set-up fee: £324.00 (including VAT) for up to two tenants

Includes administration of processing the application, referencing up to two tenants to include financial credit checks, Right to Rent checks (identity, immigration and visa confirmation) and obtaining references from current or previous employers/landlords to assess affordability. Tenant portion of preparing the Tenancy agreement and inventory/schedule of condition (50% shared with Landlord). Lodging the deposit and providing prescribed information. Accompanied check in at the property reviewing the inventory and taking meter readings on the day of handover. Producing a tenant pack with all associated documentation and safety certificates.

Subsequent applicants: £96.00 (including VAT)

Includes processing of application, Right to Rent checks and referencing

Guarantor (per guarantor if required): £84.00 (including VAT)

Includes credit referencing, suitability checks and the preparation of the Guarantor’s agreement.

DURING YOUR TENANCY

Tenant amendment fee: £72.00 (including VAT)

Contract negotiation, drafting a new tenancy agreement for a change of tenant and re-lodging the deposit if the lead tenant has changed.

Check-out fee: £72.00 (including VAT)

Accompanied check out at the property, reviewing the inventory and negotiating the repayment of the deposit. The check-out fee is payable on termination of your tenancy only.

Over paid rent fee: £24.00 (including VAT)

Administration charge for returning any overpaid rent to a tenant.

The fees above will be paid in addition to any rent and deposit that is due under the Tenancy Agreement. However the agency tenancy set-up fee will be non-refundable if you decide not to proceed for any reason, or if you fail to provide complete and accurate information in your application.
